Administrative support for former students

A graduation certificate confirms that you graduated from the VUB. You receive this document after the deliberations have been completed and your transcript of records, including the proclamation code, is available.

Administrative support for former students

You receive your original diploma and diploma supplement at your graduation ceremony or collect them from your faculty.

Have you lost your diploma or diploma supplement, has it been stolen, or has it become damaged or illegible? Under certain conditions, you can request a duplicate of your diploma and/or diploma supplement. The VUB issues a duplicate only once.

Do you not need a duplicate of your diploma, but simply proof that you graduated? You can download your graduation certificate yourself via Student SelfService.

Requesting a duplicate

To request a duplicate of your diploma and/or diploma supplement:

  1. Complete the โ€˜Duplicate diploma (supplement)โ€™ form.
  2. Clearly state why you need a replacement: loss, theft, damage or illegibility.
  3. Indicate whether you need a duplicate of your diploma, diploma supplement or both documents.

The VUB will assess your request in consultation with the faculty concerned. If your request is approved, you will receive further payment instructions. An administrative fee of โ‚ฌ50 is charged for a duplicate.

Once payment has been received, the duplicate of your diploma and/or diploma supplement will be delivered to the faculty secretariat. The secretariat will then contact you.

Important

Duplicates can no longer be issued for diplomas awarded up to and including the 2012โ€“2013 academic year. You can, however, still request a graduation certificate or transcript of records.

Administrative support for former students

A transcript of records is an official document listing your examination results. It includes additional information such as your proclamation code, the names of the chair and secretary of the examination board, and information about any appeal procedures. It serves as official proof of your academic results and study progress.

To request your individual transcript of records, email your faculty secretariat.

If you need a certified copy of your diploma and/or diploma supplement, please inform the secretariat of your faculty

We will review your request. You can then bring copies you already have or the original documents, which can be copied on site. We forward the copies to the Rector for signature and add a VUB Rectorate stamp and date stamp to the back. Once this process has been completed, you can collect the certified documents.

Some foreign universities, employers, and authorities require an official translation of your diploma by a sworn translator. Addresses of translators can be obtained from the court of first instance:

Administrative support for former students

Does an employer, educational institution or other organisation need confirmation of your VUB degree? You can request a diploma verification.

Employers and external organisations can also submit a request to verify the authenticity of a VUB alumnusโ€™s diploma.

Requesting verification

Send your request by email to alumniverification@vub.be.

Where applicable, attach the required documents, such as:

  • the alumnusโ€™s consent to share their information;
  • a form provided by the employer, educational institution or other organisation;
  • any other relevant supporting documents.

Make sure you include all required documents. Incomplete requests cannot be processed.

Once the VUB receives your request, we will check whether the diploma details can be confirmed and follow up accordingly.
