Outgoing Mobility

Are you looking for funding for a training or teaching opportunity abroad? Every year, VUB organizes 2 open calls for Erasmus+ staff mobilities (second call is subjected to funding availability).

 Who can apply?

  • VUB academic and administrative staff
  • Onbezoldigd, external medewerker, and PhD students are not eligible for these calls.

VUB offers two Erasmus+ actions for staff mobility.

European destinations

KA131 mobility to European destinations
  • EU member states
  • Third countries associated to the Erasmus+ Programme (North Macedonia, Serbia, Liechtenstein, Norway, Turkey)
  • United Kingdom and Switzerland as third countries not associated to the Erasmus+ Programme (20% budget under international mobility)

Specific non-European destinations

KA171 mobilities to specific non-European destinations
  • Mobility to third countries not associated to the Erasmus+ Programme.
  • The destinations are limited to countries VUB has specifically applied for at the National Agency.
  • Destinations available are specified in the call.

Teaching or training?

Each Erasmus+ mobility action can have one of the two foci:

Mobility for teaching (STA)

  • Minimum 8 teaching hours per week. If the teaching activity is combined with a training activity during a single period abroad, the minimum number of hours of teaching per week (or any other period of stay shorter than a week) is reduced to 4 hours.
  • Mobility period of 2-5 consecutive days (travel days not included). In case of mobility involving third countries not associated to the Programme, the duration must be min. 5 days (applicable for UK and CH)
  • You are bound to the available destinations. Please note that for teaching mobilities, an interinstitutional agreement is needed between VUB and the partner institution for your subject area/academic discipline 

Mobility for training (including BIPs) (STT)

  • It can support attending a training event, job shadowing, observation periods etc. The focus of this activity must be on the training or learning experience of the participant.
  • It cannot support: attending a conference
  • Mobility period of 2-5 consecutive days (travel days not included). In case of mobility involving third countries not associated with the Programme, the duration must be min. 5 days  (applicable for UK and CH)
  • You have freedom in choosing your own destination. Please note: for KA131 training mobilities, an interinstitutional agreement is not needed between VUB and the European partner institution with the exception of mobilities taking place at a UK and CH higher education institutions. For all KA171 partners, an agreement is already signed by IRMO for all available destinations.

  • Your STT Mobility can take place under a Blended Intensive Programme but there are specific requirements to respect: minimum 5 days mobility (BIPs have a minimum physical mobility of 5 days and maximum of 30. Any mobility exceeding 5 days can only been undertaken with a zero grant)  

How much will my grant be?

Grants awarded by VUB cover up to 5 days. They are meant to be a contribution towards your mobility and might not cover the entire cost. The grant is a lump sum and you will not be asked to justify your expenses. Please note you can combine an Erasmus+ grant with other funding but said source cannot be from the Erasmus+ programme (double funding).

The grant is divided into per diem (that you receive for every day of actual activity (not for travel days) and travel allowance (based on distance). 

The amounts can vary depending on the contract your mobility is funded on. For estimation purposes only, below you can find the amounts of the 2024 Erasmus+ contract between the VUB and the funding agency Epos.

KA131 Grant per diem

Erasmus+ provides a per diem which is different according to destination.  

No distinction is made between teaching and training mobilities: the per diem for a mobility for teaching or training is the same.

KA171 Grant per diem

Under KA171 there is no difference in per diems according to the destination, the per diem is fixed.  

The per diem for a mobility for teaching or training is the same: 180 EUR. â€¯This amount refers to contract 2023.

The travel support is calculated based on travel distance. Travel grant: based on EACEA distance calculator

  1. You will have to register your mobility in TEO
  2. You will have to comply with the Erasmus+ and VUB policy

FAQ

Where can I find the documents to apply?

You can find them in the staff mobility call and on our SharePoint. Please make sure to use the correct template for what you are applying.

Does my Mobility Agreement need to be signed by the host at application stage?

No, you can submit an agreement only signed by yourself. Of course, it is better if you can submit an agreement signed by the host organization as well or submit a proof of preliminary acceptance.

Can I submit my application outside of the application call?

No, you cannot submit an application for funding outside of the open call. However, you can choose to use the Erasmus+ framework for a mobility and request to be a zero-grant participant (a participant who complies with all the Erasmus+ requirements and benefits but does not receive funding). This could be upon the request of the receiving partner.

Can I apply via e-mail?

No, applications will only be considered valid if submitted via Mobility Online and before the deadline.

Incoming Erasmus+ Staff Mobility

We also have opportunities for incoming staff mobility, as long as a receiving VUB colleague agrees to host the visit. Whether you’re a VUB colleague preparing to welcome an incoming staff member or a visitor from another university hoping to spend some time with us in Brussels, this page sets you on the right path.

Are you a VUB staff member welcoming an incoming colleague?

Please note that as organiser of this mobility you are responsible to liaise with the incoming colleague to facilitate their visit. You are also responsible for the administration related to this mobility (i.e. signing the mobility agreement and certificate of stay).

Are you a colleague from another university interested in coming to VUB?

Thank you for your interest! Please note that at the moment VUB is not organising any staff mobility that you can apply to.

Specific staff mobilities can be organised if the receiving VUB colleagues agree. Please make sure your complete request reaches the VUB at the very latest 2 weeks before the deadline for your home university to allow for time to consult the relevant colleague.

To apply for a specific staff mobility we advise you to have a clear request:

  • Consult the overview with our faculties or central administrative departments to understand where you would like to apply. Be specific about where you would like to do your staff mobility. If you have any doubts on where a certain service is located at the VUB, you can reach us at exchange.outgoing@vub.be.
  • Provide information on yourself, your experience and CV.
  • Clarify the time frame of the mobility (days and period).
  • Be specific about the objectives of this mobility.
  • If for teaching, please verify the existence of an agreement between your home university and VUB.
