Overview of the available certificates

Enrolment certificates, student cards or a scoring list, these are just some of the certificates you need as a student. Don't know what exactly you are looking for? In the left menu you will find an overview of all the certificates and how to obtain them.

Your enrolment certificate

After signing your online study contract, you receive your enrolment certificate.

Physical copy via postal mail (Belgian address only)

Within one week after signing your online study contract, you will receive your student card by postal mail, accompanied by an A4 document with three enrolment certificates. VUB uses your postal address in Student SelfService (Cali) and only if you address is in Belgium. You can change this yourself if necessary. New students cannot do this yet, and receive mail on their address of domicile. Students who apply with an address outside of Belgium, only receive the digital version via e-mail.

Digital version via e-mail (all students)

You will receive your enrolment certificate via e-mail (secured pdf) on your private e-mail address (new enrolment) or your VUB e-mail account (re-enrolment) within 48 hours after you sign your online study contract.

After you sign your online study contract your enrolment certificate is available for download. 

  • Log in to the Student SelfService with your VUB account. If you don't have a VUB account yet, just be patient. You will receive an e-mail to activate your account in the days following the signing of your online study contract.
  • Click 'certificates' and select 'Enrolment certificate' in the left menu. 
  • Select English or Dutch to open or download your certificate.

Your student card

After signing your online study contract, your student card is created.

Via postal mail (Belgian address)

Within one week after signing your online study contract, you will receive your student card by postal mail, accompanied by an A4 document with three enrolment certificates. VUB uses your postal address in Student SelfService (Cali). You can change this yourself if necessary. New students cannot do this yet, and receive mail on their address of domicile. 

Pick up on campus (non-Belgian address)

Students who apply with an address outside of Belgium, do not receive their student card or enrolment certificate via postal mail.

  • From 7 September til 9 October between 10AM - 4PM in Building M (ground floor, immediately on the right as you enter)
  • From 10 October onwards at Student Information in building D.

Need a new student card?

Did you lose your student card or would you rather have a different picture on it? Then you can request a new one. A duplicate costs €15 (starting 14 September). As soon as your new card is ready, you can pick it up on campus (see info above).

Did your original student card never arrive via postal mail?

It can take a while for the student card to arrive. Make sure to check the correct mailbox (at the address you used to submit your application), Haven't received anything after 1 month? Let us know via attesten@vub.be.

  • Only for students who applied with a Belgian address, otherwise the card is never sent via postal mail.
  • Let us know 2 months after you signed your study contract at the latest. After this time, you will have to request a new card via the request form above.
  • Did you change your address after the card was already mailed to your old address? In this case you must request a new card via the request form above.

Certificate for your public transportation card

To buy or renew your student transportation card, you need proof of enrolment at VUB.

You can use your enrolment certificate for this. VUB does not need to fill out any documents provided by the transportation company, your enrolment certificate should suffice.

Your scoring list

Your scoring list gives an overview of your study results

It is a document intended for communication with external institutions or when an official certificate isn't required. A scoring list is not an official document about your study progress.

Mentioned on the scoring list

Your scoring list contains an overview of the courses you registered in the current academic year, plus any exemptions you may have or external courses. It mentions:

  • Place and date of creation
  • Name and function of the signatory
  • Signature of the Head of Education and Student Administration
  • Official VUB stamp
  • Language of the study programme
  • Scope in ECTS-credits
  • Explanatory notes and explanation of results

Your proclamation code, the names of the president and secretary of the exam commission and information about the appeals procedure are mentioned on your transcript of records.

Download your scoring list

After you've registered your courses, you can download your own scoring list in the Student SelfService.

  • Log in to the Student SelfService with your VUB Account and click 'certificates'.
  • Select 'Scoring lists' in the left menu'.
  • You get an overview of all your scoring lists. Click on the scoring list you want to check.
  • Select English or Dutch to view or download your list in either language.

You can contact your former faculty to request a scoring list.

A credit certificate

A credit certificate is the official proof that you have successfully finished (passed) a course.

It shows that you have obtained the learning goals and this the ECTS-credits.

Proof that you took an exam

Do you need a written proof of passing an exam? You can request this via e-mail from the faculty that offers the course. 

Duplicate diploma

Original diploma

You receive your initial/original diploma with diploma supplement during the graduation ceremony or by collecting it from your faculty.

Need a copy of your diploma (supplement)?

If your diploma was lost, stolen or damaged, you can request a duplicate (one time only) via special procedure. This costs €50.

Your graduation certificate

A graduation certificate confirms that you graduated from VUB

You receive this document after deliberations have finished and your transcript of records with proclamation code is available. This is not your official diploma, but you can use it to prove you have graduated if your diploma is not (yet) available.

Digital version via e-mail

In the week after deliberations you will receive a digital version of your graduation certificate via e-mail to your VUB address. Within a week you can also view and download it yourself in the Student SelfService.

Standard form Annex 1 & 2

Only for students who need a visa

Non-EEA students who hold a residence permit (for students) need this form to apply for and to renew their permit at the local commune where they are registered. This form is only available in Dutch.

Annex 1 - 'Accepted'

You receive this form when you are conditionally accepted to VUB. It is sent via e-mail, along with your (conditional) admission letter and instructions for your visa request.

Annex 1 - 'Enrolled'

You receive this form via e-mail, at the latest 1 day after finishing your (re)enrolment. You need this form to request or renew your residence permit in Belgium.

Mentioning your credits

The number of credits you are registered for is mentioned only on Annex 1 after you have registered your courses. If you receive Annex 1 before you registered your courses, this field will be empty. As soon as you've registered your courses, you can download a new version of Annex 1 with mention of your registered courses.

Annex 2 

The study progress form gives information about your study progress at VUB. You receive this form via e-mail as soon as your official exam results are available. This document is required to renew your residence permit.

Proof of tuition fee payment

Need proof that you paid your tuition fees?

You can request proof of payment via this form.

For proof that you paid rent for a VUB room, please contact Student Housing.

Fill out forms

Do you need our administration to fill out forms for you? 

Make sure the organisation requesting the forms has a template available. Fill out the online form below and add all required documents. Incomplete requests cannot be handled.

Child benefits

You usually don't need VUB to fill out any documents for this. Providers can access the Higher Education Database themselves to check whether you're enrolled as a student and how many credits you're taking, so we won't fill out any documents for this.

Public transportation

When you want to buy a transportation card at student prices, you will need to provide your enrolment certificate (see info above). The enrolment certificate you receive when you enrol at VUB is all you need to bring to their ticket desk.
